This policy explains what personal information Marlin Freights collects, why we collect it, and the choices you have. We keep it plain because you deserve to understand it.

Marlin Freights is a trade name of Marlin Technology Inc. ("Marlin Freights," "we," "us," "our"), a licensed property freight brokerage based in Ottawa, Ontario, Canada. We are the organization responsible for the personal information described in this policy. Questions or requests can go to our Privacy Officer at dispatch@marlinfreights.com or (343) 306-1557.
This policy applies to personal information we collect through this website, our forms, email, and phone, and in the course of arranging freight for shippers and working with carriers. It is written to align with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law. Because we are a business-to-business freight broker, most of the information we handle is business-contact and shipment information rather than consumer data.
We collect, use, and disclose personal information with your consent, except where the law permits or requires otherwise. By submitting a form, emailing us, or asking us to quote or move freight, you consent to the handling of that information for the purposes described here. You may withdraw your consent at any time, subject to legal and contractual limits, by contacting our Privacy Officer; withdrawing consent may mean we can no longer provide a service.
Information you give us through our forms, email, or phone: name, company, email address, phone number, and the details of your shipment or fleet (origin, destination, equipment, weight, timing, and similar). Carriers and shippers may also provide operating authority, insurance certificates, tax details (such as a W-9), references, and remittance information.
Information collected automatically when you visit the site: limited technical data such as IP address, browser type, and pages viewed. Our network provider (Cloudflare) processes standard server logs to deliver and secure the site.
We use personal information to prepare quotes, arrange and manage shipments, vet and pay carriers, run credit and reference checks, respond to your inquiries, invoice and collect payment, keep the records our business and the law require, and prevent fraud. We do not use it for any purpose a reasonable person would not expect from a freight broker they contacted.
Where we send commercial electronic messages, we do so in accordance with Canada's Anti-Spam Legislation (CASL): we identify ourselves, rely on consent or an existing business relationship, and include a working unsubscribe mechanism in every such message. You can opt out of our marketing emails at any time, and we will honour the request promptly.
This site uses only the cookies and similar technologies needed to deliver and secure the pages you request. We do not currently use advertising cookies. If we later add analytics or other non-essential cookies, we will update this policy and provide notice and choices as the law requires.
We share personal information only as needed to do the job: with the carriers and service providers involved in your shipment; with your customs broker where a cross-border move requires it; and with trusted vendors who process data on our behalf under contract, such as our email provider (Google Workspace), our web-form provider (Formspree), and our hosting/network provider (Cloudflare). We may also disclose information where required or permitted by law, or to protect our rights. We do not sell, rent, or trade your personal information, and we do not share it for other companies' marketing.
Some of our service providers store or process data on servers in the United States or other countries. Where that happens, your information may be subject to the laws of those jurisdictions, including lawful access by their authorities. We use providers that are bound by contract to protect your information to a comparable standard. By using our services you acknowledge this cross-border processing.
We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information, and we limit access to those who need it. No method of transmission or storage is perfectly secure, but we take protecting your data seriously and review our practices as our business grows.
We keep personal information only as long as needed for the purposes above and to meet legal, tax, and regulatory record-keeping requirements, and then we securely dispose of it.
Subject to legal limits, you may ask to access the personal information we hold about you, ask us to correct it, or withdraw consent to certain uses. To make a request, contact our Privacy Officer at dispatch@marlinfreights.com; we will respond within the time the law requires. If you have an unresolved concern, you may also contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
Our site may link to third-party websites or services. We are not responsible for their content or privacy practices; please review their policies.
Our services are intended for businesses and are not directed at children, and we do not knowingly collect personal information from children.
We may update this policy as our business grows or the law changes. We will post the updated version here with a new "last updated" date.
